Due to a change in the Secondary Teachers’ Collective Agreement 2022–2025 to how secondary teacher relievers are paid, schools will need to enter a small amount of new information on timesheets for secondary relief teachers.

These changes will come into effect in EdPay from 26 March 2024.

As well as secondary schools, primary and area schools need to be aware of these changes because it affects the way all bulk timesheets are uploaded in EdPay.

Changes on the timesheet CSV file upload

If you upload bulk timesheet entries on a CSV file, we will need you to use a new CSV timesheet template from 26 March 2024.

Secondary, area and primary schools will need to use this new template if they upload bulk timesheet entries.

You can download the new CSV template here

Please delete the old CSV timesheet template and do not use it after 25 March 2024, because it won’t be accepted by EdPay.

We know that some schools use Kamar to manage timesheets, and Kamar has been provided with the new template.

Additional information needed about secondary teacher relievers

There will be a new column that needs to be completed if the timesheet entry is for a:

  • secondary relief teacher (on award code – SDR5), and
  • their pay code is DDR, and
  • they have an additional active part time secondary teacher role at the same school.

The title of the column is Also PT_Day, which is short for: Did they also have an additional part-time job at your school on the date entered?

Please enter either:

  • Y (Yes, they did have an additional part-time job at your school on the date entered) OR
  • N (No, they did not have an additional part-time job at your school on the date entered.

If this column is not completed for secondary relief teachers, then the whole timesheet upload may be rejected as EdPay has built in checks that need this information.

For all other employee types, this column can be left blank, and it won’t affect the upload.


Changes in the EdPay timesheet screen

If you are entering a timesheet in EdPay and the timesheet is for a:

  • secondary relief teacher (on award code – SDR5), and
  • their pay code is DDR, and
  • they have an additional active part time secondary teacher role at the same school.

There will be a new column titled: Part time teaching job at your school

You will need to choose from either:

  • Also worked part time (at your school) on the date entered, OR
  • Didn’t work part time (at your school) on the date entered.
